Privacy Notice

MyJa Studio ("we", "us", "our") is a professional tool for land surveyors. This notice explains what personal information we collect, why we collect it, how we protect it, and what rights you have over it. We align our practices with the Data Protection and Privacy Act, 2019 of Uganda, including its principles of accountability, lawful processing, data minimisation, limited retention, transparency, and security.

The short version: your work stays in your browser and, if you sign in, in your own Google Firebase account. We do not sell your data, do not run advertising or tracking, and do not share your job content with anyone but you.

01Who we are

MyJa Studio is operated by Nsubuga Marcus, a Cartography and GIS graduate of The Institute of Survey and Land Management, Entebbe, based in Kampala, Uganda. We are the data controller responsible for the personal information processed through this service. Contact details are at the bottom of this page.

02Our role in your data

We act as the data controller for:

When you upload a coordinate abstract, a DXF file, or enter the names of landowners or other third parties into a job, you remain the data controller for that information. You are responsible for ensuring you have a lawful basis under the Act and under your professional duties to process it. We process it only on your behalf and only to operate the service for you.

03What counts as personal data

Under the Act, personal data means any information relating to an identified or identifiable natural person. In the context of this service, that includes:

04What we collect and why

Account and authentication. Google Sign-In provides us with your display name, email address, profile photo URL, and a unique user ID. We use this solely to identify you and secure your account. We do not receive your Google password.

Job data. When you save a job, the metadata (county, district, estate, block, plot, surveyor name, contact, coordinates, parcels, area selections, cartography state) and any DXF text are stored in Google Cloud Firestore under your account and, for offline use, in your browser's localStorage and IndexedDB. Only you can read this data.

Technical and security data. Our hosting provider (Netlify) records standard access logs including IP address and timestamp. Google Firebase logs authentication events and Firestore requests. This is used for security, abuse prevention, and reliability, not for profiling.

What we do not collect. We do not run analytics, advertising pixels, social media trackers, or any third-party fingerprinting. We do not collect national ID numbers, bank details, or medical records, and we ask that you do not upload them either.

05Lawful bases for processing

Section 7 of the Act permits processing where an appropriate basis exists. We rely on:

06Sensitive data and prohibited uploads

Section 9 of the Act restricts the processing of sensitive categories of information. Do not upload national ID scans, bank statements, medical records, or any personal data that is not strictly necessary for the survey. If you are unsure whether a particular document can lawfully be uploaded, seek guidance from a qualified Ugandan lawyer or your professional body before processing.

07Who we share your data with

We do not sell your personal information. We share data only with the service providers that make the app work:

By using the app, you acknowledge that these providers may process your data outside Uganda. We rely on their contractual and technical safeguards and limit sharing to what is needed to operate the service.

We may also disclose information if required by Ugandan law, a court order, or to protect the rights and safety of our users.

Under Section 16 of the Act you have the right to:

To exercise any of these rights, email us with the subject line "Privacy Request". We will respond within 14 working days. You can also delete your cloud data directly from the Account panel inside the app, which removes every job from Google Firebase and signs you out.

Where account deletion is approved, we delete or anonymise personal data within 30 days of verification. Residual copies in encrypted backups may persist for a limited technical period before automatic rotation.

In line with Section 20 of the Act, we maintain the following safeguards:

If we become aware of a data breach affecting your personal information, we will notify you by email within 72 hours and report it to Uganda's Personal Data Protection Office as required by law.

11Children

MyJa Studio is a professional tool for land surveyors and is not directed at children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us immediately and we will delete it.

12Professional standards

Using MyJa Studio does not imply endorsement by the Ministry of Lands, the Institution of Surveyors of Uganda, or any other regulatory or professional body. Every result produced by the app must be independently verified by a qualified surveyor before use in any legal or administrative proceeding. The surveyor who signs a plan remains professionally responsible for its accuracy.

MyJa Studio is built by a Cartography and GIS graduate of The Institute of Survey and Land Management, Entebbe, who practices in the surveying field under the supervision and guidance of a qualified registered surveyor. It is a computational aid.

13Changes to this notice

We may update this notice from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email. Continued use of the service after changes have been published constitutes your acknowledgement of the updated notice.
